View and track assignments from anywhere

  • Feature: Create digital records of work assignments.

  • Use: Organize work inside a single document. Describe the scope, personnel, and asset-related tasks. Work orders are a great way to log asset usage and track task completion.

Some features are unavailable while creating a world order (e.g. adding followers or attaching files). To use these features, create and save a work order and then update settings within the Work Order Manager.

Creating a work order

  1. Go to the side menu and click Work Orders > New Work Order. A new form displays

  2. Go to the work order block and fill in the fields.

  3. Assign the work order to one or more users.

  4. Click Create to generate and save the work order.

Edit vs update a work order

After you create a work order, open the work order editor to review and change key fields (e.g. due date or assignee status).

With appropriate permissions, users do not need to open the editor to update settings for several fields:

  • add or remove followers

  • add task references

  • attach files

  • update the status of a task or line item

  • change the work order status (e.g. mark for review)

Filling in work order fields

Go to the work order block and complete the form. Some fields are auto-filled.

Filling in the fields

  • Work Order Number - Nektar auto-generates this value.

  • Work Order Template - Each new work order starts with a default layout. Optionally, click the field and select a custom template.

  • Asset Number - Assign an asset to every work order. Enter a keyword or asset number (full or partial) into the field and click the search icon to display a menu of options. Click the icon or identifier number to select the asset. Click the asset number link to display the asset summary in a popup.

  • Work Order Due Date - This is a required field. Click the calendar icon to set a work order due date or the infinity icon to set no due date. Click the clock icon to set a time deadline for work order completion.

  • Description - Enter details to help the assigned user(s) understand the task. (optional)

  • Create File Folder - Under development.

Assigning a user

Go to the Assigned To block and select one or more assignees. Click the Add Another User button and select one or more names. Optionally, click the top field and select names within a specific Permissions Group. After you create the work order, Nektar sends each assignee (and follower) a notification.

Accessing a work order

Users who do not have Work Order permissions cannot see or access the Work Orders link on the side menu of their dashboard. In this situation, users can access the work order from the Message Center.

  • If the project manager enables work order notifications, Nektar sends each work order user (and follower) a message. To access the work order, the user opens the notification and clicks the Open Work Order button.

  • A popup displays the work order. The user reads the details and accepts or declines the work.

Creating line items and tasks

A line item is a folder that holds one or more asset-related tasks that the assigned user(s) should complete. A work order can have multiple line items. Add line items to the list and describe the tasks
