  • Feature: Update a work order.

  • Use: Project managers and assigned users can change work order details without using the Edit tool. This way, field staff can update the work order (e.g. its status) without granting permission to edit work orders.

Users can update the following work order fields or configurations without using the Edit tool. Click a link to jump to a section in this article.

Some work order features and elements can only be changed within the Edit tool (e.g. due date). Click to learn about editing a work order.

Prerequisites

Know how to manage work order permissions. This article assumes the project manager grants work order assignees maximum permissions to update work order settings while excluding the ability to create, edit, and delete work orders. The below screenshot displays that configuration.

Managing followers

Go to the top of the work order block. Click the icon with two black waves to open the list.

  • To add followers, click the plus (+) icon and select one or more names on the pop list.

  • To remove a follower, hover an account name and click the X icon.

  • To remove yourself from the list, click Stop Following. To add yourself, click Start Following.

What is a follower?

A user who can see, open, and update a work order on their dashboard. Work order assignees are auto-added to the Follower list. Non-assignees can be manually added to the list.

If you add a follower, Nektar displays the work order in the My Work Orders block of the user's Work Order Manager page (assuming the user has permission to view work orders).

Printing a work order

If you click the Print icon in the toolbar, Nektar opens a new window with a print-ready PDF version of the work order.

Adding task references

Users can attach prior tasks recorded against the default work order asset. Prior tasks create a digital paper trail that could help assignees understand a current problem based on past work orders. For instance, a project manager could attach the most recent vehicle inspection task when creating a new work order to inspect the same vehicle.

To attach a recorded task:

  1. Go to the REFERENCES block and click the label.

  2. In the popup window, click the Add button. A new popup displays.

  3. Select a row and click the Add button.

  4. On the next popup, click Done to save and close or click Add to attach another recorded task.

Attaching files

Go to the FILES block and click the label. Drag and drop a file into the file window.

Updating line item status

Click a line item. In the popup, click the pencil icon. In the next window, click the status field and select an option. There is no save button. Click the X icon to close the window.

Updating work order status

Users can update the status of a work order.

  1. Open a work order and go to the bottom of the window.

  2. Click the button.

  3. Click the X icon to close the window. There is no save button.

It is possible to set a work order status to Complete even though the status of one or more line items is Not Complete.
