Using the Foreman Entry / Approval interface for entering time and reviewing existing time

Overview

Foreman Entry / Approval is the supervisory time card management interface in Nektar. It allows foremen (supervisors) to create, review, edit, approve, and reject time cards for their crew members across multiple projects on a given date.

Unlike the employee-facing My Time Cards interface, which manages one time card at a time, Foreman Entry uses a spreadsheet-style interface that supports bulk entry and approval for an entire team in a single view.


Accessing Foreman Entry

In the left navigation menu navigate to: Time Cards → Foreman Entry / Approval

Requirements

  • The Time Card module must be enabled for your organization (see Time Card Setup)

  • The user must have the User is Foreman permission (Permission Manager > Misc > Time Cards


Page Layout

The page consists of:

  • A header toolbar at the top

  • A tabbed project workspace filling the remaining screen


Header Toolbar

The header toolbar contains the following controls:

Foreman Selector

  • Selects which foreman’s time cards are displayed

  • Defaults to the currently logged-in user

  • Changing the foreman reloads all time card data

Time Card Date

  • Date picker controlling which day’s time cards are shown

  • Defaults to today

  • Changing the date reloads all data

  • Calendar indicators:

    • Blue highlight: Current pay period

    • Red dots: Dates with unapproved time cards

Copy as Template

  • Copies the current day’s project / employee / cost code structure to another date

  • Hours are copied as zero

  • Enabled only when time card rows exist

Save Time Cards

  • Saves all pending changes:

    • New cards

    • Edits

    • Approvals and rejections

    • Deletions

  • Enabled only when unsaved changes exist


Project Tabs

Each project with time cards for the selected foreman and date appears as its own tab.

Each tab includes:

  • Project selector
    Searchable tree dropdown used to assign or change the project
    Locked once employees are added

  • Action buttons

    • Crews

    • Add Employee

    • Add Equipment

    • Add Cost Codes

    • Approve All

    • Reject All

  • Time card table
    Spreadsheet-style grid for entering and reviewing hours


The Time Card Table

The table is the core of the Foreman Entry experience.

Employees / Equipment

  • Displays asset avatar, number, and identifier

  • Employee rows may have nested equipment rows beneath them

Cost Code Columns

  • One column per cost code

  • Each cell accepts numeric hour entry

Comments

  • Icon opens the comment modal

  • Filled blue icon indicates an existing comment

Status

  • Approve (✔) and Reject (✖) buttons per row.

Note: Only approved hours are exported when using the Time Card Export interface for payroll processing

Total

  • Sum of all cost code hours for the row

  • Red dot indicates unapproved changes

Day Total

  • Shows total hours across all projects for the day

  • Hover to view per-project breakdown in a popover

  • Useful in making sure that an employee isnt over allocated for the day


Optimizations for Efficiency

Keyboard Navigation

  • Use arrow keys (↑ ↓ ← →) to move between cells

  • Optimized for fast, spreadsheet-style data entry

Right-Click Context Menus

Row Context Menu - (Right-click an employee or equipment row)

  • Copy row hours to…
    Copy all cost code hours to other selected rows

  • Copy row hours to attached equipment
    Copies employee hours to all child equipment rows
    (Only visible for employees with attached equipment)

Cell Context Menu - (Right-click a cost code cell)

  • Copy cell hours to…
    Copies the value to the same cost code on other rows


Creating Time Cards

Adding a Project

  1. Click + Add Project

  2. Select a project from the dropdown

  3. Once selected, project actions become available

Note: Multiple project tabs can be open at the same time. Tabs without rows can be closed/removed.

Adding Employees

  1. Click Add Employee

  2. Select employees from the modal

  3. Use filters to search by number, identifier, or type

  4. Click Update

  5. Selected employees appear as rows in the table

Adding Equipment

Equipment can be added in two ways:

Standalone equipment

  1. Click Add Equipment

  2. Select equipment assets and click Update

Equipment attached to an employee

  1. Click the + icon on an employee row or use the row context menu

  2. Select equipment

  3. Equipment appears indented beneath the employee

A warning appears when adding standalone equipment to indicate it is not linked to an employee. Equipment linked to an employee will appear on the individual time card when they view it through the My Time Card interface.


Adding Cost Codes

  1. Click Add Cost Codes

  2. Select cost codes for the project

  3. Click Update

  4. Each selected cost code appears as a new column


Approving and Rejecting Time Cards

Individual Approval

  • Approve toggles the card to Approved

  • Reject toggles the card to Rejected

  • Clicking again returns the card to Waiting status


Bulk Approval

  • Approve All approves all editable cards in the project

  • Reject All rejects all editable cards in the project

  • Confirmation is required


Status Indicators

  • Red dot on a project tab = unapproved cards exist

  • Red dots on the date picker = unapproved cards on that date

  • Red dot in Day Total = unapproved hours on that row


Processed Time Cards

When time cards are exported (in the Export Time Cards interface) for payroll purposes, all time that has been exported has its status changed to Processed.

Time cards with a Processed status are locked:

  • Rows appear dimmed

  • All controls are disabled

  • Cards cannot be edited

Contact an administrator if changes are required.


Crews

Crews allow foremen to save reusable groups of employees and equipment.

Managing Crews

  1. Click Crews on a project tab

  2. Use the left panel to manage folders and crews

  3. Use the right panel to manage crew members

  4. Drag and drop to reorganize

  5. Right-click to rename or delete

  6. Click Add Crew to import members into the project

Crews support nested folders and preserve employee-equipment relationships.


Saving Changes & Unsaved Data

  • All edits are tracked locally until Save Time Cards is clicked

If you change the date or foreman while unsaved changes exist, a warning appears. Proceeding discards those changes.


Troubleshooting

No employees appear when adding employees
Ensure employee assets exist and the asset definitions are configured correctly (see Time Card Setup)

No cost codes available
A project must be selected and have cost codes configured. (see Time Card Setup)

Save button is disabled
No changes exist, or new rows have no hour entries.

Cannot edit a row
The time card is in Processed status. Look for the lock icon in the status column.

Approve / Reject buttons don’t respond
Only cards with a Waiting status can be changed.

Copy as Template shows “No changes”
All selected combinations already exist on the target date.

Add Project button is disabled
An unassigned project tab already exists. Complete or close it first.
